Privacy Statement for PPMS

This privacy policy contains information about the collection and processing of user data, i.e. your data, that is transmitted to PPMS e.g. during using its functionality and tools by the home organization of the user (especially while using the single sign-on method) or the user himself.

Purpose of the processing of personal data

PPMS processes personal data for managing access to equipment and other protected resources of research laboratories and core facilities (“Facilities”) for their managers. Individual user IDs are logged when accessing the Facilities and might be retrieved and further processed in the case of misuse. The managers use these data to communicate with you (mainly by email), to identify you as a registered Facility user, manage your usage of Facility resources, bill your Home Organization for this usage, and create aggregate statistical reports for future Facility funding, positioning, development, and improvement of quality and efficiency of services provided.

Processed personal data

The following data may be retrieved from the home organization of the user, stored and processed, completely or in parts - provided that the user's home organization is willing to release the data or parts of it to PPMS:

• a unique user identifier (eduPersonPrincipalName)
• a unique user identifier (uid)
• a unique identifier (persistent-id) that the user's home organization issues specifically for PPMS
• the first name of the user (givenName)
• the last name of the user (sn)
• the telephone number of the user (telephoneNumber)
• the email address of the user (mail)

If the user's home organization does not provide the necessary user attributes in an appropriate manner, the user might be requested to provide the necessary personal data himself in order to use certain services and resources at the Facility.

Third parties to whom personal data is disclosed

When access to protected resources is requested by the user, his personal data and additional data retrieved during the access procedure will be disclosed to the Facility management so that they can assess whether or not access should be granted.

Access, rectification and deletion of personal data

Contact a contact person of the Facility. Contact Details are provided at the PPMS landing page. To rectify the data released by your home organization, contact your home organization's IT helpdesk.

Data retention

The Facility management will retain your data in PPMS according to the data protection policy of the facility

Data Protection Code of Conduct

The personal data of users will be protected according to the Code of Conduct for Service Providers (http://www.geant.net/uri/dataprotection-code-of-conduct/v1), a common standard for the research and higher education sector to protect the privacy of users.
